Volunteer Position: Regional Event Coordinator

Alberta Prosperity Project is looking for a volunteer event coordinator to work with our Events  Team. Working with  Chapter and Regional Leaders, you will be assisting in the planning, coordination, marketing, budgeting, communication, and evaluation of proposed events in conjunction with the Regional Leader.

Responsibilities:

  • Work with the host Chapter to source appropriate facilities, help set and manage budgets and acquire vendors, if needed, prepare  layouts and timeline. Coordinate with the Regional Leader and Speakers Committee to attain APP approved speakers, emcee, Q & A session. Work with the host Chapter to acquire and coordinate volunteers, in relation to events being proposed and reported to the Regional Leader for approval.
  • Visit venues prior to an event to confirm what technical equipment is available, where all fire/public safety equipment is in place and up to date, also noting if there is a muster point, or if one needs to be planned ahead, and if there is an up to date and stocked first aid kit and AED device.
  • Work with the host Chapter to coordinate  the registration of participants and guests, and to orientate volunteers, preparation of event agenda, confirm you have adequate supplies and promotional materials, purchasing and ordering ahead of time if needed, and ensuring they are brought to the event on time for proper distribution and set up, coordinate tables for membership sales, merchandise sales, stage set up and table/chair set up for the attendees. Encourage host Chapters to promote the event through word of mouth, personal invitations, and other means to ensure good attendance to the event. Participate in Regional Leader vendor contract negotiations and payments. Noting that Regional Leader has final approval on the venue and contracts, as well as the coordination of payments for the expenses incurred within the previously agreed upon budget.
  • Coordinate marketing and advertising with your Regional Leader, who then will communicate with our media and communications team to promote the event, if needed.
  • Plan and execute volunteer orientation 30 to 60 minutes prior to an event. 
  • Supervise, support and manage the volunteers.
  • Coordinate all  related activities, including various logistics such as: vendors, displays, audiovisual equipment, security, etc.
  • Use your own creativity to solicit event sponsors (cash and in-kind).
  • Prepare reports and make recommendations for future events.
  • Do bank deposit in a timely manner, ensuring all totals balance with the merchandise and memberships sold.
  • Submit memberships to Membership Coordinator and deposit slips to the Project Accountant.
  • Make sure to thank volunteers for their time and involvement in helping to make the event a success.
  • Follow up with volunteers and Chapter Leaders, recording feedback on the event and assisting them in reaching out to new members. 
  • Help grow fellowship, build community, and forge unity within the team. 

Essential Skills:

  • Excellent planning, organizational and negotiation skills combined with the ability to multitask and good time management skills to ensure events are on-time and within budget.
  • Ability to work in a fast paced work environment with a positive attitude  and deliver results, under tight deadlines and pressure situations.
  • Excellent communication and interpersonal skills with  the ability to interact with a diverse range of donors, clients, vendors, suppliers, staff members, volunteers and ethno-cultural diverse communities.
  • Ability to work with minimal supervision and in a team environment

Qualifications:

  • Experience in event coordination/planning, fundraising and management a definite asset
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Excel or Google Sheets and Google Productivity Suite.

Hours required: 5 – 10 hr per week or more when planning an event
